A property management business running 34+ short-term rental properties needed reliable, real-time visibility into bookings, cleaning schedules and revenue — without staff manually checking five separate booking platforms, and without a notification system so noisy that real changes got lost in the noise.
Built a self-healing iCal sync engine pulling live booking data every 30 minutes from 35+ calendar feeds across Airbnb, Hostaway, Guesty, VRBO and Lodgify — filtering out platform-specific placeholder events and using stable event identifiers (not just dates, which can shift) to correctly detect real guest changes and cancellations. On top of that: automated WhatsApp reminders for cleaning staff (daily, weekly, and on-demand via chat commands), a lightweight change-detection layer that only alerts the team when something genuinely changes, an AI-powered system that routes incoming guest complaints from WhatsApp to the right place, and a direct Lodgify API integration that auto-generates weekly revenue reports with built-in safeguards flagging bookings with missing pricing data for manual review instead of silently showing incorrect figures.
- Debugged and fixed 6+ distinct failure modes in a live production system — calendar sync bugs, date-conversion errors, Google Sheets API rate limiting, OAuth/SSL infrastructure setup (Cloudflare DNS + Let's Encrypt via Nginx Proxy Manager), and data reconciliation logic for guest-initiated booking changes.
- Built a self-healing sync architecture — rather than a one-way data pipeline, the system continuously reconciles its own state against live source calendars, auto-correcting stale or incorrect records without manual intervention.
- Diagnosed a third-party API data gap by comparing raw API responses against the platform's own CSV export — proving a genuine upstream limitation rather than assuming it was a bug in our own code — and designed the system to gracefully flag these cases for manual review instead of failing silently.
