AI chatbots are only as accurate as the articles they read. Use one topic per article, put the answer first, write exact numbers and conditions, state what you don't do, add escalation rules, and remove contradictions. Then test and fix the articles that cause the most wrong answers.
When a client's chatbot gives a wrong answer, the instinct is to blame the AI model or rewrite the prompt. In my experience, the cause is usually the help center. The bot found an outdated article, two articles that disagreed, or nothing at all, and filled the gap with a confident guess.
Here's how to write articles that AI chatbots like Intercom Fin, Zendesk AI, Chatbase or a custom bot can use correctly.
The 8 Rules
1. One topic per article
"Shipping, returns and payments" in one long page makes retrieval unreliable. Split it: one article for shipping rates, one for delivery times, one for returns.
2. Put the answer in the first lines
Start with the direct answer, then the details. AI systems often use the most relevant chunk of a page, so lead with what matters.
3. Write exact numbers and conditions
"Fast shipping" invites guessing. "Free standard shipping on US orders over $50; delivery in 3 to 5 business days" doesn't.
4. Say what you don't do
Bots assume yes when nothing says no. Add lines like "We don't ship to PO boxes" and "We don't offer price matching".
5. Add escalation rules
Write when a human must take over: refund disputes, damaged items, legal complaints, account cancellations. Example: "Refund disputes are handled by our team. Ask the customer for their order number and hand over to an agent."
6. Remove contradictions
If your returns page says 30 days and an old FAQ says 14, the bot may quote either. Search your help center for every number that appears in more than one place.
7. Use text, not images or PDFs
Rates in an image, tables in a PDF and info in a video are easily missed. Put key facts in plain text, and use simple text tables.
8. Date it and own it
Add a "last updated" date and a named owner. When prices change, someone knows which articles to update.
Template You Can Copy
Title: [One specific question, e.g. "How much does shipping cost?"]
Answer: [Direct answer in 1-2 sentences with exact numbers.]
Details:
- [Condition 1, e.g. "US orders over $50: free standard shipping"]
- [Condition 2]
- [Exception, e.g. "Not available for PO boxes"]
What we don't do: [e.g. "We don't offer same-day delivery."]
When to hand over to a human: [e.g. "Lost or damaged parcels."]
Last updated: [date] · Owner: [name]
Before and After
| Before | After |
|---|---|
| "We offer quick shipping worldwide at great rates." | "US standard: $5.99, free over $50, 3-5 business days. International: $19.99, 7-14 business days. No PO boxes." |
| "Returns are easy!" | "Return unused items within 30 days of delivery for a refund to the original payment method. Sale items are final sale. Damaged items: hand over to support." |
Find the Articles Causing Wrong Answers
A few articles usually cause most of the errors. To find them:
- Collect recent chatbot conversations.
- Grade each answer against your docs.
- Group the wrong answers by the article the bot relied on.
- Fix the top three articles, then re-test.
My SaaS ProofMyAI does this automatically. Its Fix with AI feature groups problems by the article that caused them and writes a corrected article and a safer prompt. In one sample report, a single shipping-rates article caused 22 of 31 wrong answers. There's a free plan for 50 conversations a month.
Frequently Asked Questions
Most wrong answers come from the knowledge base: missing information, outdated details, vague wording or two articles that contradict each other. The AI fills gaps with plausible guesses, so improving articles is usually the fastest fix.
Plain text help articles work better. PDFs, images and tables inside images are often parsed poorly, so prices or rules in them may be missed or misread. Put key facts in clear text.
Short and focused: one topic per article, with the key answer in the first lines and specific numbers, conditions and exceptions spelled out. Long articles covering many topics make retrieval less reliable.
Grade chatbot answers against your docs and group the wrong ones by the article the bot used. A few articles usually cause most errors. ProofMyAI does this automatically and suggests corrected articles.
